1. General provisions
1.1. These Terms govern the selection of participation formats and packages, ordering of additional services, external payment by bank transfer and verification of supporting documents for participation in the XIII International Scientific Congress ‘Sport, People and Health’, to be held on 28–30 April 2027 (the Congress).
1.2. The Organiser is the International Public Organisation for the Promotion of Science and Sport ‘Sport, People and Health’ (МОО «Спорт, Человек, Здоровье»), OGRN 1117800001274, INN 7814160983, KPP 781401001.

1.3. A Participant is an individual or an organisation’s representative who has registered on the Website and selected a participation format. If an organisation makes the payment, it is named in the payment documents in accordance with the documents issued by the Organiser and the bank’s rules.
1.4. Selecting a package and submitting an application do not, in themselves, constitute an online payment. The Website does not accept bank cards or receive card details.
2. Formats, packages and additional services
2.1. The current contents, prices and availability of packages and additional services are shown on the registration page and in the participant account before selection. The price is fixed for the specific order in roubles, under the catalogue version in effect when the item was saved, unless the Organiser and Participant agree otherwise.
2.2. Basic participation packages:
- VIP — in-person participation and an extended range of services;
- Standard — in-person participation and the core range of services;
- Participant / attendee — free in-person or online participation to the extent specified on the Website.
2.3. Depending on the basic package and format, available options may include printed Congress Proceedings, cultural and excursion programmes, a gala dinner and celebration concert, transfers and other options published by the Organiser. Options incompatible with the selected package cannot be added.
2.4. The Participant may select a basic package when registering or later in the participant account, and add compatible additional services. After the first proof-of-payment document has been submitted, changing the basic package or removing related items independently may be restricted. To change the order, the Participant contacts the Organiser, who records the agreed change in the participant account.
2.5. Services, times, programme, venues and other organisational details may be updated as preparations progress. Material changes are communicated through the Website, participant account or a service message.
3. Payment procedure
3.1. Payment is made outside the Website by bank transfer using the Organiser’s bank details. A file containing the current details is available in the participant account. The Organiser may send an invoice or other documents separately.
3.2. Before making a transfer, the Participant checks the recipient’s bank details, amount and payment reference. Any bank fee is excluded from the service price and is paid by the payer unless the Organiser has stated otherwise in writing.
3.3. One order may be paid through several transfers. The Participant uploads a separate receipt, payment receipt or payment order for each transfer and specifies the amount of that particular payment.
3.4. The payment obligation is considered fulfilled for the confirmed amount once funds have been credited to the Organiser’s account. Uploading a document, its ‘Under review’ status or information in a banking app does not confirm receipt of funds.
3.5. Where legislation requires the use of cash register equipment, the Organiser issues and supplies a fiscal receipt in the prescribed manner. The Participant’s bank receipt confirms an instruction to the bank or a transfer, but does not replace the Organiser’s fiscal receipt where that receipt is mandatory.
4. Checking proof-of-payment documents
4.1. For verification, the Participant uploads a PDF, DOC, DOCX, JPG or PNG file within the size limit specified on the Website to the private section of the participant account. Each document receives one of the following user-facing statuses:
- Under review — the document has been received and is awaiting manual verification;
- Accepted — the document has been checked and the confirmed amount has been recorded against the order;
- Clarification required — the Organiser requests an explanation or a new document;
- Rejected — the document does not substantiate the payment or cannot be accepted.
4.2. The Organiser may request a clearer document, an explanation, a bank-endorsed payment order or other reasonably necessary information. When a document is replaced, the previous version may be retained in the private history for audit purposes and to protect the parties’ rights.
4.3. The Organiser allocates the accepted amount among active order items. The participant account may display full or partial payment of each item and the outstanding amount. If allocation does not match the payment reference or agreement, the Participant should contact info@sport-health.ru
4.4. The Organiser may send a service reminder about unpaid items or the need to replace a document. This message relates to performance of the order and is not an advertising mailing.
4.5. Before uploading, the Participant conceals excessive information: account balance, other transactions, the full bank card number, CVC/CVV code, passwords, passport details and third-party information. Data in the document is processed on the basis of separate consent.
5. Participant changes to and cancellation of an order
5.1. Before submitting proof of payment, the Participant may independently add available services and, where the interface permits, change unpaid items. After a document has been submitted, changes are made through the Organiser to preserve an accurate payment history.
5.2. A request to cancel a paid service, change a package or obtain a refund is sent to info@sport-health.ru from the account email address or as a signed document from the payer. The Organiser may request information necessary to identify the payment and make a lawful refund without collecting excessive data.
5.3. For a Participant acting as a consumer, refunds take account of the right to cancel a service subject to reimbursing the Organiser’s actual expenses. For an organisation or a person acting for business purposes, the consequences of cancellation are determined by applicable civil law and the documents agreed with the Organiser.
5.4. The refund amount and timeframe are determined after checking the request, the status of services provided, the transfer method and payer, and actual expenses incurred. Refunds are made to the payer by a lawful method. These Terms do not limit the Participant’s mandatory statutory rights.
6. Changes to, postponement or cancellation of the Congress
6.1. The Organiser may adjust the schedule, line-up of presentations, rooms and format of individual events without reducing the services paid for, or by offering a reasonable alternative.
6.2. If the Congress is postponed, its format changes materially or it is cancelled, the Organiser publishes information and notifies registered Participants by an available means. Performance, replacement services or refunds are determined by law, the nature of the change, services already provided and substantiated expenses.
6.3. The parties are exempt from liability for a breach caused by extraordinary and unavoidable circumstances to the extent provided for by law. The affected party notifies the other party within a reasonable time.
7. Liability and restrictions
7.1. The Participant is responsible for the accuracy of registration information, the correctness of the selected order, the lawfulness of transferring third-party data and the contents of the uploaded document.
7.2. The Organiser is not responsible for bank, email service or communications delays and errors beyond its reasonable control, but assists in checking payment status and restoring available information.
7.3. The Participant must not upload malicious or forged materials, materials unrelated to payment or materials infringing third-party rights. The Organiser may reject such a document, restrict the relevant feature and take measures to protect the Website.
8. Personal data and service messages
8.1. Personal data is processed under the Controller’s Policy at https://sport-health.ru/privacy. Separate consent is obtained for uploading proof of payment.
8.2. The Organiser sends one-time links, status updates, requests for clarification, confirmations and reminders necessary for registration, orders and participation to the account email address. Advertising messages require a separate lawful basis.
9. Enquiries and dispute resolution
9.1. Questions about orders, payments, refunds and documents should be sent to info@sport-health.ru or the Organiser’s postal address. The enquiry should include the full name, account email address, registration code and the issue concerned; only the minimum necessary bank information should be provided.
9.2. The parties seek to resolve disagreements through negotiation and exchange of documents. If no agreement is reached, the dispute is resolved in the manner prescribed by Russian Federation legislation. Mandatory consumer protection and jurisdiction rules remain applicable.
10. Acceptance of and changes to the Terms
10.1. The Participant accepts these Terms through a separate affirmative action in the Website interface after being given the opportunity to read the full text. The Controller records the version, action date and time, and user identifier to the extent necessary to demonstrate acceptance.
10.2. A new version applies to new actions after publication. Items already paid for are not changed retrospectively without a lawful basis or agreement with the Participant.
10.3. Participation in the scientific programme, submission and publication of materials, use of images and dissemination of personal data are governed by separate rules and consents.
