Consent text
I, an adult participant in the XIII International Scientific Congress ‘Sport, People and Health’, to be held on 28–30 April 2027 (the Congress), freely, of my own will and in my own interests, give the International Public Organisation for the Promotion of Science and Sport ‘Sport, People and Health’ (МОО «Спорт, Человек, Здоровье»), OGRN 1117800001274, INN 7814160983, KPP 781401001, registered address: Office 406, 61 Vyborgskaya Embankment, Saint Petersburg, 197342 (the Organiser), consent to photography, video recording and use of my image on the following terms.
1. Purposes for using materials
- covering the preparation, holding and outcomes of the Congress;
- compiling the Congress programme, news, reports and archive;
- providing information about the Organiser’s scientific, educational and public events;
- presenting Congress speakers, participants, partners and official events.
This consent does not authorise use of my image for political campaigning, advertising third-party goods or services, creating a separate database of individuals or other purposes not listed here.
2. Materials covered by this consent
This consent covers photographs, video recordings and accompanying audio, and live online broadcasts of Congress scientific events, created by the Organiser or photographers and camera operators engaged by it during open Congress events, and portrait materials that I have separately supplied for the programme or speaker presentation.
This consent does not authorise covert recording in places where a participant reasonably expects privacy or publication of private correspondence.
3. Permitted actions
The Organiser may:
- photograph, record video and audio, and livestream Congress scientific events;
- reproduce and distribute materials;
- publicly display and make materials available online;
- include materials in the programme, a report, news item, video or archive;
- include materials in printed and electronic Scientific Proceedings, the archive page for the relevant Congress and other compiled archive materials directly relating to the Congress;
- retain technical and archive copies necessary to maintain access to a lawfully published archive.
- crop materials, correct colour and sound, and add titles, subtitles, a logo and other technical elements, provided this does not distort the meaning or damage the depicted person’s honour, dignity or business reputation.
Creating a synthetic likeness, simulated voice, deepfake or other material that gives a false impression of a participant’s words or actions requires new, separate consent.
4. Where materials may be published
- on the official website https://sport-health.ru
- on the Organiser’s and Congress’s official social media and video channels;
- in the printed and electronic programme and scientific proceedings, in reports and in the public ‘Archive’ section of https://sport-health.ru, including the archive page for the relevant Congress;
- in official press materials and media communications;
- on official partners’ pages solely to cover the Congress and with an indication of the connection to the event.
For technical publication purposes, the Organiser may engage hosting, storage, printing, mailing and media service providers within the scope of their assigned task and subject to data protection requirements.
Online publication makes materials available to an indefinite range of people, including outside the Russian Federation. Third parties may save or quote lawfully published material independently of the Organiser.
5. Name and accompanying information
This consent does not, in itself, authorise publication of email addresses, telephone numbers, addresses, payment information, correspondence or internal statuses alongside the image.
Surname, first name, patronymic, organisation, position, academic degree, academic title, Congress role and presentation title are published only where separate consent to processing personal data authorised for dissemination, or another lawful basis, exists.
6. Duration, territory and remuneration
Consent applies from electronic confirmation without a fixed end date, until withdrawal or until the Organiser ends the relevant use.
While consent remains in force, the Organiser may create, publish and retain materials for the stated purposes, including maintaining their availability in the official Website’s public ‘Archive’ section.
The territory of use is worldwide because materials are made available online and may be accessed by users regardless of location.
Consent is given free of charge and does not transfer exclusive rights to the image to the Organiser. Withdrawal applies to future use and continued access on resources controlled by the Organiser. It does not affect the lawfulness of actions taken before the request was received, require recall of lawfully issued printed copies or guarantee removal of copies previously saved independently by third parties.
7. Voluntary and separate consent
Consent is voluntary and is obtained separately from:
- registration and participation in the Congress;
- consent to personal data processing;
- consent to dissemination of author and professional information;
- the Rules for Submission and Publication of Scientific Materials;
- advertising and marketing messages.
Declining portrait or staged photography must not restrict ordinary participation in the Congress. Before recording begins, the Organiser identifies official areas and events where general reportage photography, recording and livestreaming take place, and provides a reasonable opportunity to decline close-ups or individual publication.
8. Withdrawal of consent and enquiries
I may withdraw consent or request that a specific use cease by sending a request to info@sport-health.ru or to: Office 24, Building A, 8 Malaya Morskaya Street, Saint Petersburg, 191186.
The request must state my full name, account email address, a description of the material and the resource where it is published. The Organiser may request reasonable proof of identity.
Withdrawal applies to future use and resources controlled by the Organiser. It does not affect the lawfulness of actions taken before the request was received and does not guarantee removal of printed copies or copies previously saved by third parties. The Organiser considers the request and reports the action taken to the address supplied by the applicant.
9. Electronic confirmation
Before confirmation, the Organiser displays the full consent text. The checkbox is not preselected. The Organiser records the document version, date and time, user identifier and, where necessary, the related role or event.
Additional consent is obtained for a separate staged shoot, an advertising portrait or use of an image beyond the purposes listed here.
