I, a user of https://sport-health.ru, freely, of my own will and in my own interests, give the International Public Organisation for the Promotion of Science and Sport ‘Sport, People and Health’ (МОО «Спорт, Человек, Здоровье»), OGRN 1117800001274, INN 7814160983, KPP 781401001, registered address: Office 406, 61 Vyborgskaya Embankment, Saint Petersburg, 197342 (the Controller), consent to process my personal data on the following terms.
1. Purposes of processing
- receiving and registering the research paper for the Proceedings of the XIII International Scientific Congress ‘Sport, People and Health’;
- checking compliance with paper publication requirements, completeness, format and correspondence to the stated topic of the scientific section;
- organising editorial and scientific peer review;
- identifying potential duplicates, breaches of requirements and conflicts of interest;
- requesting corrections and informing the author of the paper’s status;
- compiling the Proceedings, Programme and archive only after obtaining the necessary separate consents and permissions;
- maintaining an action history and protecting the rights of authors, the Controller and other persons.
2. Data covered
This consent covers information I enter, upload or confirm when submitting and managing the paper:
- full name, email address, country, city, organisation, position, academic degree and academic title from my participant profile;
- selected scientific section, language and presentation format;
- paper title, main paper file, presentation and technical file information;
- co-authors’ full names, email addresses and organisations — only to the extent necessary to identify the authors and contact them;
- review statuses, comments, responses, revised versions and information about acceptance, rejection or withdrawal of the paper;
- date, time, consent version, account, registration and paper identifiers, and the minimum technical information necessary to protect the Website and substantiate actions.
3. Processing operations and methods
The Controller may collect, record, organise, accumulate, store, update, retrieve, use, disclose to authorised Organising Committee and Scientific Committee members, block, delete and destroy data using automated means and, where necessary, non-automated means.
Public disclosure of the paper, publication of author information and granting rights to use the work are not covered by this consent and are arranged separately.
4. Co-authors and third-party data
By providing information about a co-author, I confirm that I have informed them about the Controller, the purposes and methods of processing, obtained a lawful basis to transfer the information and can substantiate my authority on request. I transfer only information necessary to review the paper.
The Controller may contact a co-author to confirm authorship and data processing. Until the co-author has independently confirmed or another lawful basis has been substantiated, their information must not be published in the public domain.
5. Medical and other sensitive information
I do not upload identifiable health information, medical documents, photographs of patients or research participants, biometric data, private-life information or other special categories of third-party personal data without a proper lawful basis, the necessary consents and, where applicable, ethics approval.
Research materials must be anonymised so that the Controller and reader cannot identify a specific person. This consent is not consent from patients or research participants and does not make the transfer of their data lawful.
6. Parties engaged by the Controller
To operate the Website, the Controller may engage hosting and technical support, secure file storage, email and service message delivery providers to process data. They receive only the data necessary for their function, act on the Controller’s instructions and must ensure confidentiality and security.
Access to paper contents is granted only to authorised organisers, editors and reviewers who need it to perform their functions.
7. Duration and retention
Consent applies from confirmation until completion of review, the publication cycle and mandatory retention of materials, or until withdrawal, depending on the applicable lawful basis. Rejected, withdrawn and accepted papers may have different retention periods; the final periods are approved by the Controller before submissions open and disclosed to the author.
Once the purposes have been achieved or the grounds no longer apply, data is deleted or destroyed, except for information that the Controller must or may retain to comply with the law, resolve a dispute and protect copyright.
8. Withdrawal of consent and author rights
I may withdraw consent or request information about processing and the correction, blocking or destruction of data by sending a request to info@sport-health.ru or to: Office 24, Building A, 8 Malaya Morskaya Street, Saint Petersburg, 191186.
The request must state the full name, account email address and paper number, if assigned. The Controller may request reasonable proof of identity.
Withdrawal does not affect the lawfulness of processing before it was received. If the paper has already been published or the Controller has another basis provided for by law, immediate removal of all copies may be impossible; the consequences are considered in light of the publication stage and other persons’ rights.
9. Consequences of declining consent
Consent is voluntary. Without it, the Controller cannot accept the paper through the Website, arrange peer review or provide updates on its consideration. Congress registration and other features unrelated to submission must not depend on this consent.
10. Electronic confirmation
Consent is confirmed by a separate affirmative action: I independently select a checkbox that is not preselected beside the link to the full text and submit the paper. The Controller records the consent type and version, date and time, user and paper identifiers, and the minimum information necessary to substantiate my consent.
This consent is confirmed separately from the publication rules, permission to disseminate personal data, photo/video consent and advertising messages.
