I, [full surname, first name and patronymic; omit the patronymic if none], email address: verified email address, acting freely, of my own will and in my own interests, in accordance with Article 10.1 of Federal Law No. 152-FZ of 27 July 2006 ‘On Personal Data’, give the International Public Organisation for the Promotion of Science and Sport ‘Sport, People and Health’ (МОО «Спорт, Человек, Здоровье»), OGRN 1117800001274, INN 7814160983, KPP 781401001, address as recorded in the Unified State Register of Legal Entities: Office 406, 61 Vyborgskaya Embankment, Saint Petersburg, 197342 (the Controller), separate consent to processing personal data that I have authorised for dissemination, on the terms set out in this consent.
1. Purposes of dissemination
- identifying the research paper’s authorship and affiliation;
- compiling the Congress programme and presentation schedule;
- publishing printed and electronic proceedings;
- placing bibliographic information in the Russian Science Citation Index (RSCI);
- maintaining the Congress’s public archive;
- presenting a confirmed speaker, author or scientific programme participant on Congress resources.
This consent is not used for advertising mailings, selling databases, publishing contact details or creating a public profile beyond the purposes listed here.
2. Data authorised for dissemination
I authorise publication only of the following information categories, where included in my confirmed registration form or research paper:
- surname, first name and patronymic;
- organisation and department;
- position;
- academic degree and academic title;
- country and city of professional activity;
- author or speaker status, paper title, scientific section and presentation format.
This consent does not authorise dissemination of email addresses, telephone numbers, residential addresses, registration codes, correspondence, internal statuses, payment information or uploaded documents.
Photographs, video recordings and images are governed by separate consent.
3. Resources and methods of dissemination
The listed information may be published:
- on the official Website https://sport-health.ru;
- in the printed and electronic Congress programme;
- in printed and electronic scientific proceedings;
- in scientific citation information systems to the extent of the bibliographic record and published paper;
- in the public ‘Archive’ section of https://sport-health.ru, including the archive page for the relevant Congress and the electronic scientific proceedings published there;
- in official information messages about the scientific programme.
Dissemination means providing access to an unlimited number of persons. Once information has been lawfully published online, third parties may save or quote it independently of the Controller. The Controller takes measures on resources under its control but cannot guarantee removal of all copies previously created by others.
4. Conditions and prohibitions
The Controller must:
- disseminate only the listed information and only for the stated purposes;
- not publish contact, payment or private data;
- maintain accurate information and correct substantiated errors;
- observe prohibitions and conditions set by the data subject;
- cease further dissemination after receiving a lawful request, unless otherwise provided by law.
Before confirming consent, I may set specific prohibitions or conditions for particular data categories and resources. If a chosen restriction makes mandatory attribution in the proceedings impossible, the Controller informs me before publication and offers a change to the conditions or withdrawal from publication.
Using a name or information to advertise third-party goods or services, for political campaigning, to transfer standalone databases or for other purposes not specified here is prohibited without a new basis.
5. Duration
This consent applies from electronic confirmation without a fixed end date, until terminated at the data subject’s request or until the Controller ceases dissemination of the relevant information.
While consent remains in force, the listed author and professional information may remain available to an unlimited number of persons in the electronic proceedings and the official Website’s ‘Archive’ section.
The data subject may at any time request that dissemination of all or specific categories of personal data cease. After receiving the request, the Controller ceases further dissemination and access on resources under its control in the manner and within the periods prescribed by law.
Termination of consent does not affect the lawfulness of dissemination before the request was received and does not, in itself, require recall of printed copies already issued or deletion of copies previously saved independently by third parties. The Controller’s ability to retain the electronic proceedings and bibliographic record is determined separately by applicable legislation, the author’s licence and the outcome of considering the data subject’s request.
6. Ending dissemination
I may request that dissemination of all or specific data categories cease by sending a request to info@sport-health.ru or to: Office 24, Building A, 8 Malaya Morskaya Street, Saint Petersburg, 191186.
The request must state my full name, account email address, the data or material concerned, and the resource where it is published. The Controller may request reasonable proof of identity.
The request applies to further dissemination and resources controlled by the Controller. It does not affect the lawfulness of actions taken before receipt or require destruction of printed copies already issued or distortion of authorship information where retention is based on law.
7. Voluntary and separate consent
Consent is voluntary and is obtained separately from:
- consent to data processing during registration;
- consent to data processing when submitting a paper;
- the Submission and Publication Rules and the author’s licence;
- consent to photography and video recording;
- advertising and marketing messages.
Declining dissemination does not remove access to the Website and participant account, but may make a public presentation or publication impossible where authorship attribution is lawfully required.
8. Electronic confirmation
Before confirmation, the Controller displays the full consent text, permitted data categories, dissemination resources, prohibitions and conditions. The checkbox is not preselected.
Surname, first name, patronymic (if any) and verified registration email address are displayed in the form without editing being available. If these details are incorrect, the user first corrects the profile and only then confirms consent. The email address is used solely to identify the data subject and substantiate consent; its dissemination is not authorised.
The Controller retains an immutable consent event: document key and version, the exact text or its checksum, a snapshot of the full name and verified email address, selected data categories, resources, prohibitions and conditions, duration, confirmation date and time in UTC, user and registration identifiers, confirmation page, and the related research paper or public role. Later profile changes do not alter the historical snapshot.
