1. Definitions and parties
1.1. This Agreement governs the use of https://sport-health.ru, the participant account and electronic services of the XIII International Scientific Congress ‘Sport, People and Health’.
1.2. The Website administrator and Congress organiser is the International Public Organisation for the Promotion of Science and Sport ‘Sport, People and Health’ (МОО «Спорт, Человек, Здоровье»), OGRN 1117800001274, INN 7814160983, KPP 781401001, registered address: Office 406, 61 Vyborgskaya Embankment, Saint Petersburg, 197342 (the Organiser).
1.3. A User is an individual who visits the Website, requests a sign-in link, creates a profile, registers, submits materials or uses other features.
2. Subject of the Agreement
The Organiser provides the User with the technical means to:
- receive a one-time link and sign in to the participant account;
- create and view a participant profile;
- select a format, package and additional services;
- submit a research paper and track its status;
- obtain details for external payment and upload proof of payment;
- receive service messages and respond to the Organiser’s requests;
- use other published Website features.
This Agreement does not guarantee automatic admission to the Congress, acceptance of a research paper for the Congress Proceedings, or payment confirmation. Decisions are made following checks under the applicable rules.
3. Acceptance of the Agreement
3.1. The User accepts this Agreement through an affirmative action in the Website interface. Acceptance of the Agreement is recorded separately from consent to personal data processing.
3.2. The Organiser records the Agreement version, acceptance date and time, and User identifier to the extent necessary to demonstrate acceptance.
3.3. If the User does not agree to these terms, they must not create a profile or use restricted features.
4. Account and sign-in
4.1. Users sign in using a one-time link sent to the email address provided. No password is created. The link is time-limited and intended solely for its recipient.
4.2. The User must provide an email address that belongs to them or that they lawfully use, protect access to the mailbox, refrain from sharing the link, and inform the Organiser of suspected unauthorised access.
4.3. Actions taken after successful sign-in are treated as the User’s actions unless proven otherwise. This provision does not relieve the Organiser of its duty to ensure Website security.
5. Registration for the Congress
5.1. The User provides accurate, up-to-date information and selects a participation format. The Organiser may request clarification and confirm, reject or cancel registration on the grounds specified in the participation rules.
5.2. A registration code confirms that a record has been created in the system; it is not, in itself, a ticket, visa or guarantee of a presentation, publication or paid service.
5.3. Dates, venue, programme and other organisational details may be updated. Registered users are informed of material changes.
6. Packages, additional services and external payment
6.1. The current contents, price and validity period of an offer are displayed on the Website. The system saves the selected items. The Organiser may correct an obvious technical error before payment, notifying the User.
6.2. The User pays outside the Website using the published bank details. The Website does not collect bank card details and is not a payment gateway.
6.3. An uploaded document is the User’s statement that payment has been made. Payment is considered confirmed only after the Organiser has checked it manually and changed its status in the participant account.
6.4. Where possible, the User must conceal information in the document that is unnecessary for verification and must not upload third-party data without a lawful basis.
6.5. Package changes, withdrawal from participation, refunds and the issue of payment documents are handled under the Organiser’s published rules and in accordance with Russian Federation legislation.
7. Scientific materials
7.1. Submission of scientific materials is governed by the Requirements, publication rules and licence. The User warrants that they hold the necessary rights and authority, have identified the authors accurately, and comply with requirements relating to the use of material from other sources, personal data and medical data.
7.2. Uploading a file does not mean it has been accepted. Materials may be sent for review or revision, rejected or accepted in accordance with the procedure established by the Scientific Committee.
7.3. The author’s personal data and the paper may be published only after the necessary separate documents have been completed.
8. Service messages
The Organiser sends messages necessary for sign-in and performance of the Agreement: statuses, requests for clarification, decisions, technical notices and reminders. The User is responsible for ensuring their email address is accessible and checking the Spam folder. Advertising mailings require a separate basis.
9. User rights and obligations
The User may obtain information about their applications and contact the Organising Committee. The User must:
- provide accurate data and report changes promptly;
- not impersonate another person or infringe third-party rights;
- not upload malicious, unlawful or irrelevant files;
- not circumvent access restrictions or disrupt Website operation;
- comply with Congress rules, research ethics and applicable legislation.
10. Rights of the Organiser
The Organiser may moderate materials, request clarification, temporarily restrict access where security is threatened, remove clearly unlawful content, correct technical errors and carry out maintenance. Restrictions must be proportionate and, where possible, accompanied by notice.
11. Intellectual property
Website design materials belong to the Organiser or are used lawfully. The User retains the rights to their research paper. Publication rights are granted separately; creating an account or uploading a draft does not transfer exclusive rights.
12. Liability
12.1. The parties are liable in accordance with Russian Federation legislation.
12.2. The Organiser is not responsible for failures beyond its reasonable control, including telecommunications, bank or third-party website failures, but takes reasonable steps to restore its own services.
12.3. Nothing in this Agreement limits consumer rights where the relationship falls within consumer protection legislation.
13. Ending use and deleting a profile
The User may stop using the Website and request closure of their profile. The Organiser ends processing and deletes data where there is no retention obligation, ongoing relationship or other lawful basis. The procedure and consequences of cancelling participation, a paper or a payment are determined by the published rules and legislation.
14. Changes to the Agreement
The current version is published at https://sport-health.ru/terms. Material changes apply to new actions after notification. Where a change requires renewed acceptance, access to the relevant feature is provided after the User accepts again.
15. Governing law and disputes
The law of the Russian Federation applies. The User may send an enquiry to info@sport-health.ru. Disputes are resolved in the manner prescribed by Russian Federation legislation, without restricting the rights granted to the User.
